OEASE vs Wild Apricot: An Honest Comparison for 2026

Let's Be Fair About This

We make one of the products in this comparison, so read it with that in mind. We've tried hard to be honest — including about the things Wild Apricot does better than we do — because a comparison that only flatters the home team isn't worth your time.

Wild Apricot is one of the best-known names in membership management software, and for good reason. It's been around for years, it has a huge install base, and it earns a 4.4–4.5★ rating across hundreds of reviews on Capterra. If you're a membership organization shopping for software, it's almost certainly on your list. It deserves to be.

So the question isn't "which is objectively better." It's "which is right for your organization." This post will help you answer that honestly. (One housekeeping note: pricing and ownership details below were verified in mid-2026 — software changes fast, so confirm the current numbers on each vendor's own page before you decide.)

What Wild Apricot Is

Wild Apricot is an all-in-one membership management platform: a member database, a website builder, event registration, online payments, and email, all wired together so your data flows between them. It's aimed squarely at small-to-mid-size associations, clubs, chambers of commerce, trade and professional groups, and nonprofits — typically organizations with volunteer or small staff who want one tool instead of five.

As of January 2026 it's owned by Momentive Software, which acquired Personify (Wild Apricot's previous parent) and now runs a portfolio of nonprofit and association tools. We mention this only because it's recent and relevant — some long-time reviewers have noted changes in support and pricing across ownership transitions, which is worth knowing going in.

Where Wild Apricot Is Genuinely Stronger

Let's start with the honest part: the places a brand-new platform like ours can't simply claim to beat.

  • Maturity and track record. Wild Apricot has years in the market and a large, proven install base. Hundreds of detailed reviews, association-specific case studies, an established community — that's social proof we can't manufacture overnight. If "battle-tested by thousands of organizations like mine" is your top priority, that's a real point in its favor.
  • Association-specific depth. Features like member-tier pricing, event capacity limits with automatic waitlists, renewal automation, and member-only website areas were refined over many years specifically for associations. If your org has complex, association-style membership rules, that depth matters.
  • Established integrations. A documented API plus broad Zapier/Make connectivity to tools like Mailchimp, QuickBooks, and Constant Contact. If your workflow depends on a specific integration, Wild Apricot's ecosystem is more mature than ours today.

If those are your make-or-break needs, Wild Apricot may be the right answer, and we'd rather tell you that than waste your time.

The Core Difference: How You Pay

Here's where the two part ways most sharply — and where most of the decision actually gets made.

Wild Apricot prices by your total contact count. The entry plan is around $66/month for 100 contacts (less if you prepay annually), with a generous 60-day free trial — but no permanent free plan. As your list grows, you move up tiers, and the monthly cost climbs into the hundreds for larger lists.

The catch most organizations don't see coming: "contacts" usually means everyone in your database — not just paying members, but prospects, lapsed members, alumni, and email-list entries. Keep a 5,000-person email list with 1,200 active members, and you can find yourself paying for all 5,000. The price of staying in touch with people goes up the more you grow your community — which is a strange incentive for software that's supposed to help you grow your community.

OEASE is free. No tiers, no per-contact pricing, no "upgrade to unlock." Every feature is available to every organization regardless of size. We sustain the platform through a small 1.3% fee on payments processed through Stripe (on top of Stripe's standard 2.9% + 30¢; paid event ticketing adds a 3% service fee). If your organization never collects money through OEASE, you pay nothing — and you still get everything. We wrote about why we made OEASE free, and how the model stays sustainable, if you're (rightly) skeptical.

That's the heart of it: Wild Apricot charges more as your contact list grows; OEASE doesn't charge for contacts at all. For a budget-conscious or growing organization, that difference compounds every single year.

IntegrationsMature (API, Zapier, hundreds of apps)Fewer today (newer platform)
Maturity / track recordYears in market, large install baseNew, fewer reviews
UI / experienceOften called dated/clunky in reviewsModern, mobile-first

A few honest notes on that table. Wild Apricot's website builder is its most frequently criticized module — reviewers describe it as restrictive and the newsletter editor as cumbersome. OEASE takes a different approach entirely: instead of a builder you maintain, your public website and link-in-bio update themselves from the data you already manage, so they don't go stale. That's a genuine advantage for a volunteer-run org — but it also means less pixel-level design control than a dedicated builder, which some organizations want.

On the flip side, OEASE includes things Wild Apricot doesn't focus on at all — a recruitment/applications pipeline, group scheduling via Time Polls, branded Bio Pages, and public event discovery — because OEASE is built to run a whole organization, not just its membership roster. Whether that breadth helps you depends on whether you need it.

And we'll say it plainly: Wild Apricot's integration ecosystem is more mature than ours right now. If you live and die by a Zapier automation, check that we support it before you switch.

Which Is Right for You?

Choose Wild Apricot if:

  • You're an established association or membership org with complex, association-specific membership rules.
  • You need a deep, proven ecosystem of integrations today.
  • A long track record and large peer install base are decisive for you.
  • You have the budget for per-contact pricing and it fits your size.

Choose OEASE if:

  • Cost matters, and paying more as your contact list grows doesn't sit right.
  • You want a free platform with no per-seat or per-contact pricing.
  • You want a modern, mobile-first experience your members and volunteers will actually enjoy.
  • You need more than membership — recruitment, events, finances, scheduling, and a self-updating web presence in one place.
  • You're a club, student org, sports league, faith group, smaller nonprofit, or volunteer-run association watching every dollar.

The Honest Bottom Line

Wild Apricot is a mature, capable platform that has earned its reputation, and for a well-funded, integration-heavy, association-specific organization, it may genuinely be the better fit. We're not going to pretend otherwise.

But if you're a community organization counting every dollar — and most are — the math is hard to ignore. Software that charges you more as your community grows is solving its own business model, not your problem. We built OEASE free because we think the organizations doing the most good often have the least to spend, and they shouldn't have to choose between paying for software and funding their mission.

If you want to see the broader field before deciding, we rounded up the best free nonprofit and membership management tools in 2026 — Wild Apricot and OEASE included, alongside the rest.

Or you can just try it. There's nothing to cancel and no card to enter.
